Archiving Years of Travel Photos Without Losing Anything
Over a decade of shooting across seven continents, I've accumulated an amount of image data that would have been unthinkable to me starting out, and every terabyte of it represents work I genuinely cannot afford to lose. A corrupted drive or an accidental deletion isn't just an inconvenience at this scale — it's the erasure of years of client work, personal projects, and irreplaceable moments from trips I'll never repeat under the same conditions.
That stakes-level thinking is exactly why archiving can't be an afterthought bolted onto the end of a workflow. It has to be a system, built deliberately and maintained consistently, not a collection of good intentions scattered across whatever drives happened to be nearby when a project wrapped. Why Short-Term Backup and Long-Term Archiving Are Different Problems
Early on, I treated backup and archiving as the same task, and that conflation caused real problems. Short-term backup is about protecting a shoot's files in the days immediately after capture, when the risk of a card failure, a corrupted transfer, or a workflow mistake is highest. Long-term archiving is about protecting that same work for years, against slower risks like drive failure, format obsolescence, and simple neglect.
A system built only for short-term backup tends to fail at long-term archiving because it isn't designed with redundancy that survives years of dormancy. Drives that sit unused for long stretches fail at different rates and in different ways than drives in active daily use, and a backup strategy that assumes regular access doesn't automatically protect files that might not be touched again for years.
Recognizing that these are genuinely different problems, requiring different solutions, was the first real shift in how I approached archiving. It meant building two distinct systems rather than assuming a good short-term backup habit would naturally extend into reliable long-term protection.
The Redundancy Structure I Actually Use
My current approach keeps a minimum of three copies of every archived project, across at least two different physical media types, with one copy stored in a location physically separate from the other two. That structure isn't unique to me — it's a widely recommended baseline in digital preservation — but actually maintaining it consistently across years of accumulating work is the harder part that most people underestimate.
The physical separation matters more than people initially assume. A fire, flood, or theft that destroys two copies stored in the same location defeats the entire purpose of redundancy, no matter how many drives you've duplicated your files onto. I learned to treat "different location" as a hard requirement, not a nice-to-have, after realizing how much of my early redundancy was really just multiple drives sitting in the same studio.
Different media types matter for a related reason: a manufacturing defect or firmware issue affecting one drive model or storage service doesn't necessarily affect a completely different type of storage. Spreading archived copies across genuinely different technologies, rather than three drives from the same batch, reduces the chance that a single systemic failure takes out more than one copy at once.
Why I Don't Trust Any Single Storage Medium Long-Term
Every storage medium I've used has a failure mode, and none of them are permanent in the way people casually assume. Hard drives fail mechanically, sometimes with little warning. Solid state drives can lose data if left unpowered for extended periods. Cloud storage depends on a company staying in business and maintaining its own infrastructure indefinitely, which is a real dependency, not a guarantee.
Because of that, I treat every individual storage medium as eventually going to fail, and I build my system around that assumption rather than hoping any specific drive or service will be the exception. This isn't paranoia so much as just taking the manufacturer's own failure rate data seriously, rather than assuming my own drives are somehow exempt from statistics that apply to everyone else's.
That assumption is also why I don't consider a single cloud backup sufficient on its own, however convenient it feels. Cloud storage is a valuable part of a broader redundancy strategy, but relying on it exclusively concentrates risk in a single provider's infrastructure and business decisions, which is exactly the kind of single point of failure the whole redundancy structure is designed to avoid.
How I Organize Files So They're Actually Findable Years Later
Redundant backups solve the problem of losing files. They don't solve the separate problem of being unable to find a specific image years after a shoot, buried in a folder structure that made sense in the moment but means nothing in hindsight. I learned this the hard way searching for a specific image from an early trip, knowing it existed somewhere in my archive but unable to locate it without hours of manual searching.
My current structure organizes by year, then by project or trip, with a consistent naming convention that includes the date and a short descriptive tag rather than just the camera's default file numbering. That consistency, applied retroactively to older archives as I've had time, has made searching my own catalog dramatically faster than it used to be.
I also maintain a simple, separate index — essentially a spreadsheet — that logs each major project, its location on my archive, and a few keywords describing the content. It's a low-tech solution, but it's saved me more time than almost any other part of my system, especially for older work where memory alone isn't a reliable way to know what's actually in a given archived folder.
Dealing With Format Obsolescence Over a Decade of Work
File formats and the software that reads them change over time in ways that aren't always obvious until you're trying to open something years-old and running into compatibility problems you didn't anticipate. Raw file formats in particular can become harder to open reliably as camera manufacturers move on to newer formats and stop prioritizing support for older ones.
I've started keeping a converted, more universally supported copy of my most important selects alongside the original raw files, specifically as insurance against this kind of slow-motion obsolescence. It adds some storage overhead, but it means my most valuable images aren't solely dependent on a specific raw format remaining readable indefinitely into the future.
This isn't something I do for every single frame from every shoot — that would be an enormous and largely unnecessary storage burden. It's reserved for the images I've identified as genuinely important, whether for portfolio use, client licensing, or personal significance, which is a much smaller and more manageable subset of the total archive.
The Discipline of Actually Testing Your Backups
A backup you haven't tested is really just an assumption, not a verified safeguard. I learned this after discovering, during an actual restoration attempt, that a drive I'd trusted for years had silently developed corrupted files I wouldn't have known about until I actually needed that specific data.
Now I periodically spot-check archived drives by actually opening a sample of files from different time periods, rather than just confirming the drive powers on and shows the expected folder structure. That kind of verification takes real time, which is exactly why it's easy to skip, and exactly why skipping it is how silent corruption goes undetected until the worst possible moment.
I've built this testing into a recurring calendar reminder rather than relying on remembering to do it, because good intentions alone reliably lose out to the more urgent tasks of an active shoot schedule. A system that depends on remembering to maintain itself is a weaker system than one with a forcing function built in.
How Much I Actually Keep Versus What I Delete
Not every frame from every shoot deserves permanent archival storage, and being honest about that has kept my archive manageable rather than an ever-expanding mass of near-duplicate frames I'll never revisit. My culling process happens close to the time of the shoot, when I still have the context to judge which images are genuinely worth keeping long-term.
For client work, I typically archive the final delivered selects along with a modest set of additional strong frames that didn't make the final cut but might have future licensing or portfolio value. I don't archive every single frame captured during a shoot day, which for adventure work in particular can run into the thousands of images per session.
This selective approach means my archive, while large, stays navigable rather than becoming an undifferentiated mass where the good images are buried under thousands of near-identical frames from a single burst sequence. It also reduces the total storage footprint I need to maintain redundantly, which makes the whole system more sustainable over the long run.
What I Learned From a Near-Miss Early in My Career
Early on, before I'd built a real archiving discipline, I came close to losing a significant chunk of work when a drive I'd been relying on as my only copy of a project started failing. I caught it in time, through what was mostly luck rather than good process, and recovered most of the files, but the scare fundamentally changed how seriously I took redundancy afterward.
That near-miss is the honest origin story of my current system, not some proactive foresight I had from the beginning. Most photographers I know who take backup seriously have a similar story — a close call that made an abstract risk suddenly feel real and immediate in a way that reading about best practices never quite managed to.

Balancing Cost Against Genuine Protection
Storage isn't free, and a decade of archived adventure photography adds up to a genuinely significant amount of data to maintain redundantly across multiple locations and media types. I've had to make real decisions about where to invest in additional storage versus where a slightly less redundant approach is an acceptable tradeoff.
My general rule is that client-delivered work and personal portfolio selects get the full three-copy, multi-location treatment without exception, because the cost of losing them is disproportionate to the modest additional storage expense. Lower-priority frames, like the broader take from a shoot that didn't make the final selects, sometimes get a lighter backup treatment with fewer redundant copies.
This tiered approach lets me protect what actually matters most without the storage costs of full redundancy across literally everything I've ever captured becoming unsustainable. It's a compromise, but a deliberate one, rather than the accidental under-protection that happens when nobody makes this decision consciously at all.
Passing This System On, Even Informally
As my archive has grown, I've also started thinking about what happens to this body of work if I'm not the one maintaining it — a question most working photographers don't consider until much later than they probably should. A redundant, well-organized archive is only as useful as someone else's ability to understand and access it if needed.
I've started documenting the actual structure of my archive and backup system in a simple written form, separate from the archive itself, so that the logic behind the organization isn't something that exists only in my head. It's a small additional step, but one that meaningfully increases the long-term resilience of everything else I've built.
This kind of documentation feels unnecessary until you consider how much institutional knowledge about a personal archive typically lives only in the archivist's memory. Writing it down, even informally, is a cheap insurance policy against that knowledge becoming inaccessible exactly when it might matter most.
How Archiving Habits Change on the Road
Archiving discipline is hardest to maintain during an actual multi-week international trip, when time and power are both limited and the temptation to defer proper backup until returning home is strong. I've learned that deferring archiving until after a long trip is one of the riskiest habits a traveling photographer can fall into, since that's exactly the window where cards, drives, and laptops are most exposed to loss, theft, or damage.
My on-the-road version of the system is simpler than my full home setup, but it still maintains the core principle of multiple copies in different physical locations, even if that just means a card staying in a hotel safe while a duplicated drive travels in a separate bag from my main kit. It's a reduced version of the full system, not an abandonment of it.
Once I'm back and have reliable power and time again, the road version gets folded into the complete archive structure, with the temporary road backups serving as an extra redundant copy during that vulnerable window rather than being deleted immediately. That overlap costs a little extra storage temporarily, but it's cheap insurance for the riskiest part of the entire archiving pipeline.
Power availability shapes this on-the-road system more than people expect. On trips where charging opportunities are limited, I prioritize completing at least one full duplicate of the day's cards over doing any actual editing or culling in the field, since a duplicated but unedited card is far more recoverable than an edited but singly-stored one. That prioritization sometimes means falling behind on editing during a trip itself, which I've made peace with, since editing can always happen later but a lost, unbacked-up card cannot be recreated no matter how much time you're later willing to spend on it.
That ordering of priorities feels backwards to a lot of photographers used to editing on the road, but it's the ordering that's actually protected me during the handful of trips where gear got damaged, lost, or briefly misplaced in transit, and I've never once regretted prioritizing it that way in hindsight.
